Job Description - Executive Specialist

While this growth is positive, we’re seeking a highly organized and proactive independent contractor to provide advanced operational and administrative support, streamline internal systems, and free up leadership to focus on strategic growth initiatives. This role plays a key part in building a scalable foundation for our continued success. 

About the Role:

The Executive Specialist will provide high-level operational and administrative support to remove bottlenecks, enhance organization, and improve overall efficiency across multiple areas of the business. Acting as a strategic partner to leadership, this role requires strong professional judgment, initiative, and the ability to anticipate needs before they arise. Responsibilities span executive and administrative assistance, client and event coordination, operations, marketing, and HR support. The ideal candidate is detail-oriented, resourceful, and skilled at managing multiple priorities in a fast-paced, evolving environment. This is a 1099 independent contractor position.

Key Responsibilities:

Executive & Administrative Support

  • Anticipate executive needs and take initiative to resolve administrative or scheduling challenges before they escalate.
  • Manage executive calendars, meetings, agendas, and follow-ups.
  • Draft, proofread, and edit business documents including reports, SOPs, client communications, and presentations.
  • Provide inbox and correspondence management with sound judgment and discretion.
  • Identify and implement process improvements to increase efficiency and reduce redundancy across teams.

Client, Project & Event Coordination

  • Coordinate client communication and follow-up to ensure exceptional service and timely execution.
  • Lead coordination for select client accounts or internal projects, managing deliverables, timelines, and task dependencies.
  • Support event logistics from start to finish, including scheduling, vendor coordination, materials preparation, and follow-up.
  • Track progress across multiple projects to ensure alignment with company priorities.

Operations, Marketing & HR Support

  • Support operations through file management, SOP updates, and reporting.
  • Manage data entry, tracking, and reporting to support internal decision-making.
  • Assist with marketing initiatives such as content scheduling, newsletter creation, and social media coordination.
  • Provide light HR support including onboarding steps, document management, and contractor communication.
  • Conduct research, vendor comparisons, or resource gathering to support business initiatives.
  • Manage basic travel logistics as needed.

Qualifications

  • 3+ years of experience in executive support, operations, or project coordination—preferably in a remote, client-service, or agency environment.
  • Proven ability to manage multiple complex projects and competing priorities independently.
  • Strong understanding of business operations, including HR processes, marketing workflows, or client success systems.
  • Advanced proficiency with Google Workspace, Asana (or similar project management tools), and CRM or marketing platforms.
  • Excellent written and verbal communication skills with a professional, polished approach.
    Highly proactive, resourceful, and capable of making sound decisions with limited direction.
  • Comfortable working within a fast-moving virtual team environment.

Compensation
This is a 1099 independent contractor position. Compensation will be determined based on, scope of work, and mutually agreed-upon terms.
