While this growth is positive, we are seeking a highly organized and proactive independent contractor to provide essential operational and administrative support, streamline our internal systems, and free up leadership to focus on strategic growth initiatives. This role is crucial in building a scalable foundation for our continued success.

About the Role:

The Executive Coordinator will be responsible for providing dedicated operational and administrative support to remove bottlenecks, enhance organization, and improve overall efficiency. This role will encompass a wide range of tasks, including executive and administrative assistance, client and event coordination, operations, marketing, and HR support. The ideal candidate will be detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced environment. This is a 1099 independent contractor position.

Key Responsibilities:

Executive & Administrative Support:

  • Create and edit various business documents, including letters, reports, SOPs, and presentations.
  • Manage meeting coordination, including scheduling, agendas, and note-taking.
  • Provide email and calendar management, including inbox triage and prioritization.

Client, Project & Event Coordination:

  • Maintain client communication and follow-up, fostering strong client relationships.
  • Support with internal and client-facing project timelines and task coordination.
  • Assist with event planning logistics, including scheduling, communications, catering, and materials prep.
  • Track deliverables and follow-ups for internal and client projects.

Operations, Marketing & HR Support:

  • Assist with marketing tasks like content scheduling, newsletter creation, and social post coordination.
  • Provide light HR coordination: tracking time off, managing documentation, assisting with onboarding steps.
  • Contribute to internal operations efforts, such as organizing files, updating SOPs, and supporting reporting needs.
  • Conduct market research or vendor comparisons to support strategic decisions.
  • Manage basic travel logistics as needed.

Qualifications:

  • Proven experience in administrative, operational, project coordination, or executive support roles.
  • Exposure to or experience with marketing, HR support, or business operations strongly preferred.
  • Excellent organizational and time-management skills with the ability to juggle multiple responsibilities.
  • Strong written and verbal communication skills.
  • Proficiency in tools like Google Workspace, Asana, Clockify, and other office platforms.
  • A proactive, detail-oriented mindset and the ability to work independently.
  • Comfortable in a fast-moving virtual team environment.

Compensation:

This is a 1099 independent contractor position. Compensation will be determined based on the scope of work and mutually agreed-upon terms
